General Statement of Job
Under limited and occasional supervision, must be mentally and physically capable of performing a variety of complex administrative, secretarial, clerical and paralegal duties in order to ensure effective and efficient preparation, processing, maintenance, storage and safekeeping of office documents, files and records, particularly as it relates to client files, performs a variety of other routine clerical duties including filing motions, scheduling hearings, reviewing files to insure receipt of discovery and provide assistance to office attorneys, other coworkers, clients and the general public as required. Reports to the Circuit Public Defender.
Specific Duties and Responsibilities
Essential Job Functions
- Performs various complex, specialized administrative duties including but not limited to assisting in the preparation of the office budget, purchasing supplies and equipment, interpreting and implementing office policies and procedures, developing and maintaining record keeping and statistical information systems and overseeing the maintaining of office records.
- Prepares requisitions, purchase orders, prepare employee payroll documentation and prepare payroll.
- Types, copies, files and mails various letters of correspondence, reports and official documents, motions, and subpoenas for attorneys,
- Performs computer data entry to record and retrieve information on cases and clients for state office and local office.
- Prepares materials needed for conferences, meetings, correspondence, budget hearings, and any other situations where data and information is needed.
- Answers the telephone, provides accurate information to callers and/or forwards calls to appropriate staff, greets office visitors and performs customer/public service duties as required.
- Processes daily mail.

Operates a variety of equipment, i.e. computer, printer, copier, fax, telephone, calculator, etc.
Additional Job Functions
Interviews clients in Marion County Detention Center when necessary and performs related duties as required.
Minimum Training and Experience
Requires an Associate's Degree in secretarial science or related field supplemented by four (4) to six (6) years of administrative experience in a judicial or law office setting, or an equivalent combination of education, training and experience.
